Secretary of the Board

The Secretary of the Board duties help protect a non-profit organization. This is a non-paid, volunteer position. Requiring at least Seven (7) hours per month. Each Board of Director’s donate $100.00 to show commitment. The board Administrator of the Board will also act as the Board’s Secretary and have a variety of duties and responsibilities including:

  • Schedules board meetings, takes minutes
  • Assists in board member orientation , Tracks board member terms
  • Takes attendance at board meetings
  • Takes accurate meeting minutes and getting them approved
  • Ensures secure storage of official board documents and contracts
  • Maintains board records
  • Monitors legal compliance
  • Leads the Sustainability Committee
  • Leads the Standing Committee

The Secretary will work closely with the Chair of the Board and the CEO in the planning of board of directors and association meetings.

This position requires about seven hours or more per week, including Board meetings, committee meetings, and average duties.

This position will extend January 1, 202X to December 31, 202X.

The effectiveness of the secretary’s role, conduct and position description may be evaluated as part of the evaluation of the board itself.

The secretary ought to have:

  • At least one year of previous service in military or public service
  • At least one year of previous service in non-profit organization(s)
  • At least three years of previous service as a parent/ foster leader
  • A commitment to, and a clear understanding of the mission of the organization
  • Knowledge of the meeting procedures, decision-making rules, governance policies
    and the bylaws of the Association
  • An adequate level of writing proficiency and access to a computer for word processing purposes
Board position range from Jan to Dec of same year. Since this is the first year, position may range from March 1, 2025 to December 31, 2026. The current Board will elect the next Board to assume leadership.
